Be the face of a dynamic, multi-entity office and play a key role in keeping operations running smoothly!
We’re looking for an organised, proactive, and people focused Office Administrator to join our Perth team. In this role, you’ll be the welcoming front-of-house presence for EX Engineering, IPD Group, and CMI Electrical, while also providing vital administrative support to EX Engineering’s operations.

About the role:
As Office Administrator, you will create a professional, well-organised, and efficient workplace for our Perth office. Supporting multiple business entities, you’ll balance front-of-house responsibilities with key administrative and operational support, helping ensure daily activities run seamlessly.
Managing reception across all Perth entities, including greeting visitors, handling enquiries and calls, and maintaining a professional, well-presented front-of-house environment
Overseeing office operations by maintaining reception standards, monitoring and replenishing kitchen and office supplies, and coordinating catering and deliveries
Supporting onboarding by preparing and issuing items such as business cards and uniforms, ensuring new starters are fully equipped
Liaising with building management and service providers to resolve maintenance issues, and assisting with meeting room setup and pack-down
Managing purchase order processes by following up with suppliers, tracking delivery timelines, updating NetSuite, and proactively escalating delays or issues
Maintaining accurate records of outstanding orders and ensuring timely updates across systems
Processing work order documentation by transcribing approved changes into NetSuite, scanning and filing records in SharePoint, and ensuring accuracy within required timeframes
Identifying and escalating incomplete or unclear documentation for resolution
Supporting business operations through ad hoc projects, inbox management, and administrative tasks as required by leadership
Desired Skills and Experience
About You:
Prior experience in Reception, Administration, or Office Coordination role
Strong written and verbal communication skills
Demonstrated ability to manage multiple tasks and competing priorities
Familiarity with a manufacturing, engineering, or trade environment
Experience supporting multiple teams or business units simultaneously
Experience with NetSuite or a similar ERP system is desirable but not required
